We are looking for a dedicated and highly organized Executive Personal Assistant to provide comprehensive support to a company Director.
This role offers a unique opportunity to work closely with this individual as his personal assistant whilst being able to travel with him for meetings on the companies corporate jets.
This role involves extensive travel and requires an individual who is adaptable, proactive, and capable of handling a wide range of responsibilities.
Key Responsibilities:
- Travel Coordination:
- Arrange all travel logistics, including flights, accommodations, and ground transportation.
- Prepare detailed itineraries and ensure timely communication of travel plans.
- Handle visa applications and other necessary documentation for international travel.
- Calendar Management:
- Manage the Director's calendar, scheduling meetings, appointments, and events.
- Prioritize and coordinate daily tasks to maximize efficiency and productivity.
- Communication Management:
- Act as a liaison between the Director and internal/external stakeholders.
- Draft and proofread emails, reports, and other documents on behalf of the Director.
- Answer phone calls and take messages, ensuring prompt follow-up.
- Administrative Support:
- Organize and maintain office files, records, and documents.
- Prepare expense reports and ensure timely reimbursement.
- Assist with project management and research as needed.
- Travel Companion:
- Accompany the Director on business trips and ensure a seamless travel experience.
- Provide on-the-ground support, such as handling logistics, scheduling, and any ad-hoc tasks.
- Proven experience as an Executive Personal Assistant, Personal Butler or similar role.
- Previous experience as a VVIP flight Attendant will be advantageous.
- Excellent organizational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Attention to detail and the ability to work under pressure.
- Discretion and the ability to handle confidential information.
- Flexibility to travel extensively with the Director.
- A high level of written and spoken English language proficiency is required along with one other European language.
